Operations Assistant

Job Description

As Operations Assistant, you have a rare and varied opportunity to assist the business and core team with company and client financial management and operational support. You will play a critical role in assisting in the financial management of the company payables and expenses, and in tracking spending in relation to our Clients’ marketing budgets. Successful candidates will be offered a 6-month apprenticeship training program, providing a rare opportunity to combine structured education with hands-on, on-the-job training.

Job Qualifications/Requirements
  • Education: Degree qualified in business, operations, finance, or a similar discipline.
  • Experience: Recognized qualifications or experience in finance or bookkeeping.
  • Communication: Excellent English speaker and writer.
  • Technical: Excellent knowledge and technical capability with Google Sheets and Docs.
  • Mindset: Highly capable and passionate about operational excellence and organization.
Job Responsibilities
  • Financial Management:
    • Manage incoming invoices, reconcile costs against budgets, and prepare for payment.
    • Action invoices using the Payables and Payables Reconciliation Workflows.
    • Translate recorded time on invoices into total time per client for bookkeeping.
    • Run fortnightly Finance Meetings and attend Operations Meetings.
    • Review AMEX and Wise statements monthly to ensure all expenses have corresponding invoices.
  • Operational Management:
    • Timesheet Codes: Update project “codes” monthly, opening new codes for new projects and closing completed ones.
    • Team Support: Assign codes to team members and track software usage to ensure accurate time recording.
    • Project Setup: Set up Trello cards for each project and recurring work.
    • Slack Administration: Work with the EA to manage Slack channels aligned with client budgets.
  • Admin & Technical Support:
    • Provide operational and technical support to the CEO, EA, and team.
    • Troubleshoot tech problems (login issues, anti-virus setup, basic IT).
    • Undertake research projects and task support as needed.
