Operational Support Officer

Job Description

As our Operational Support Officer, you’ll be the operational backbone that enables our consulting team to focus on what they do best – delivering transformational results for clients. You’ll work directly with our founding partners Amy and Kiri, plus our growing team of Senior and Junior Consultants, ensuring seamless operations across all areas of the business.

This isn’t just an admin role – you’ll be a strategic partner in our growth, learning about consulting operations while building systems that scale with us. You’ll gain exposure to highlevel strategy consulting while developing skills in business operations, client management, and organisational development.

Job Qualifications/Requirements
  • 2+ years of work experience in administrative, operations, or virtual assistant roles.
  • Excellent English communication – both written and verbal (we work with Australian clients).
  • Strong technology proficiency – Microsoft Office Suite, Google Workspace, CRM systems, project management tools.
  • Exceptional organisational skills with keen attention to detail.
  • Experience supporting senior executives or working in professional services environments.
  • Proactive mindset: Problem-solver, self-motivated, and able to work independently.
Job Responsibilities
  • Business Operations & Client Support:
    • Coordinate client project logistics, ensuring smooth project delivery and communication.
    • Manage client onboarding processes and maintain client relationship databases.
    • Support proposal development and case study creation.
    • Assist with project documentation and knowledge management systems.
  • Executive & Administrative Support:
    • Provide support to our Managing Partners / Founders, including calendar management and meeting coordination.
    • Handle travel arrangements and logistics for client engagements.
    • Manage expense reporting, invoicing, and basic financial administration.
    • Organise and maintain digital files, documents, and our growing knowledge base.
  • Technology & Systems Management:
    • Administer our business tools (CRM, project management platforms, Microsoft 365, etc.).
    • Support the team with technology troubleshooting and optimisation.
    • Help implement and improve operational processes and workflows.
    • Maintain our website content, social media and basic digital marketing support.
  • Internal Culture & Growth Support:
    • Support our “deliberately developmental” culture through admin coordination of team development activities.
    • Assist with recruitment processes, including initial candidate screening and interview coordination.
    • Help organise internal team events and connection initiatives.
    • Support onboarding new team members with documentation and systems access.
  • Research & Strategic Support:
    • Conduct preliminary research for business development and client projects.
    • Monitor industry trends and competitor analysis.
    • Support market research for new service development.
    • Assist with content creation for thought leadership and marketing.
