Marketing Assistant

Job Description

We are seeking a highly skilled and resourceful Operations & Client Support VA to work inside the Wrkpod facility. This role supports our lead VA (Sheila) and ensures smooth continuity of service for our businesses (Bullseye Digital Marketing and 5 Star Luxury) as well as our clients.

The right candidate will be experienced in digital marketing tools, client management systems, and web/finance platforms. You’ll handle a variety of tasks across operations, client deliverables, and technical platforms — requiring someone who is tech-savvy, quick-thinking, and adaptable.

Job Qualifications/Requirements
  • At least 3 years experience as a VA, project coordinator, or digital marketing assistant.
  • Strong technical skills across multiple platforms.
  • Resourceful problem-solver — can research and fix issues independently.
  • Quick learner, adaptable to new tools and workflows.
  • Excellent written & spoken English communication.
  • Highly organized and proactive.
  • Proficient in using the following tools: Asana/ Basecamp or any project management tool. Google Docs, Docusign. Oncehub/ Eventbrite or any events management tool, Meta Business Suite, Mailchimp/ Contant Contact ( or any email marketing tool), QuickBooks/Xero ( or any Accounting software), website editing (WordPress), graphic (Canva), Google Business Suite, Google Analytics, Go High Level
Job Responsibilities
  • Agency & Client Operations:
    ● Manage tasks/projects in Asana and Basecamp.
    ● Track time and task progress in Clockify.
    ● Maintain SOPs and documentation.
    ● Handle scheduling/signatures in OnceHub, Eventbrite, Docusign.
    ● Support workflows in Google Workspace (Docs, Sheets, Drive, Gmail).
  • Marketing & Lead Management:
    ● Run reports in Vendasta & Alpha SEO; compile into client-friendly Digital Performance Reports.
    ● Manage social media scheduling in Cloud Campaign and Meta Business Suite.
    ● Support CRM workflows in Go High Level.
    ● Manage email campaigns in Mailchimp/Constant Contact.
    ● Manage business listings in Google Business Profile, Search Console, Google Ads, Google Analytics.
  • Web & Hosting:
    ● Build/update sites in WordPress (Divi/Elementor) and 10Web.
    ● Manage hosting accounts (Rebel, SiteGround) and troubleshoot issues.
  • Finance Tools:
    ● Bookkeeping support with QuickBooks, Xero, Hubdoc.
  • Property & Travel Platforms:
    ● Manage listings/reservations in Booking.com, Airbnb, PriceLabs.
  • Creative & AI Tools:
    ● Create simple graphics and videos (Canva, CapCut or similar).
    ● Use AI prompt engineering for content, reports, and process automation.
    ● Build presentations in Gamma.
  • Other:
    ● Manage passwords/accounts via Apple iCloud system.
    ● Research and troubleshoot technical issues independently.
