Job Description

We are seeking a dedicated, highly organised, and proactive Virtual Assistant to support the day-to-day operations of a fast-growing, mission-driven education business focused on child safety, online safety, and organisational training.

This role is ideal for someone who takes initiative, enjoys managing multiple responsibilities, and wants to become the right hand to a founder who is juggling content creation, advocacy, media exposure, and national-level projects.

The work can be challenging, fast-paced, and varied – but for the right person, it is deeply meaningful and rewarding.

Job Qualifications/Requirements
  • Previous experience as a Virtual Assistant, Executive Assistant, or Operations Assistant.
  • Excellent written English and professional communication.
  • Strong organisational skills and attention to detail.
  • Experience with Google Workspace (Gmail, Drive, Docs, Sheets, Calendar), Canva and Asana.
  • Familiarity with Kajabi and Riverside (or willingness to learn quickly).
  • Confidence using online tools and adapting to new systems.
  • Ability to manage multiple tasks independently and meet deadlines.
  • High level of confidentiality, integrity, and reliability.
Job Responsibilities
  • Executive & Administrative Support:
    • Manage email inbox: triage, draft responses, and flag priority items.
    • Maintain calendar: schedule meetings, media interviews, keynotes, and webinars.
    • Organise travel: flights, accommodation, hire cars, itineraries, and event run sheets.
    • Manage files and maintain a clear Google Drive structure.
    • Prepare documents, summaries, briefs, and follow-up notes.
  • Membership & Community Support:
    • Support the KidSafe Collective membership operations.
    • Moderate and manage the private Facebook group.
    • Assist members with enquiries and access issues.
    • Upload resources, conversation starters, podcasts, and replays into the membership portal when required.
    • Ensure all content for the membership is prepared and delivered on time.
  • Content, Website & Platform Support:
    • Prepare content assets (copy, links, graphics, transcripts) for handover to the Kajabi specialist via Asana.
    • Upload simple items to Kajabi when required using existing templates.
    • Assist with minor Kajabi updates (links, downloads, simple text changes).
    • Maintain organised Google Drive folders to support smooth collaboration.
    • Create simple on-brand graphics, PDFs, and documents using Canva.
    • Assist with preparing email content for scheduling by the Kajabi specialist.
  • Podcast & Media Coordination:
    For Client as a guest:
    • Research suitable podcasts aligned with child safety, parenting, education, or advocacy.
    • Send outreach emails and pitch materials to podcasters and producers.
    • Manage bookings, confirmations, speaker packs, and scheduling.
    • Send thank-you emails within 24 hours of each interview.
    For guest interviews:
    • Identify potential guests and conduct initial screening.
    • Manage invitations, correspondence, and calendar scheduling.
    • Create and send consent forms, recording links (e.g. Riverside), and briefing documents.
    • Provide Client with a guest information pack before each interview.
    • Send post-interview follow-up and appreciation emails.
  • Networking & Outreach Support:
    • Send LinkedIn connection requests to relevant professionals.
    • Send thank-you/welcome messages to new connections.
    • Highlight potential collaboration or partnership opportunities to the Founder.
    • Track outreach, responses, opportunities, and follow-ups.
  • Finance & Administration:
    • Match receipts with invoices and maintain organised digital copies.
    • Assist with preparing quotes for keynote, webinar, and training enquiries.
    • Follow up pending quotes professionally and promptly.
    • Support invoicing processes and follow up overdue accounts.
    • Send post-event thank-you messages and collect testimonials.
    • Ensure any promised resources are sent after events or webinars.
  • Reporting & Continuous Improvement:
    • Prepare weekly or monthly reports on membership activity, enquiries, engagement, and content performance.
    • Identify patterns, opportunities, or emerging issues and report them clearly to the Founder.
    • Flag operational risks, repeated customer questions, inefficiencies, or missed deadlines.
    • Maintain tracking sheets for leads, podcast outreach, testimonials, quotes, and follow-ups.
    • Contribute to system improvements and suggest practical workflow enhancements.
  • Systems & Process Development:
    • Create and maintain SOPs for recurring tasks.
    • Maintain clean, organised systems across platforms.
    • Support the development of streamlined processes to ensure efficient operations.
