We are seeking a General Administration Support to assist the Owners Corporation Managers in the management and administration of a portfolio of Residential, Industrial and Commercial properties in compliance with the Owners Corporation Act 2006.

Job Qualifications/Requirements
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with database management and electronic filing systems.
- Ability to work independently with minimal supervision.
- Articulate – In dealing with clients and contractors via email, fluent English, both spoken and written.
- Detail Orientated – As a very varied business, in terms of what we deal with day to day, we require someone who can manage and prioritise a number of jobs through the day without missing details.
- Pragmatic – Much of what we do is problem solving for our clients and as such a pragmatic approach to dealing client enquiries would be helpful.
Job Responsibilities
- Establish and maintain effective working relationships (via email only) with clients and contractors.
- Provide administrative support to OC Managers and their portfolio of properties in the form of:
▪ Mail merging letters and preparation of mail including ballots.
▪ Updating/maintaining client database.
▪ Electronic filing of records.
▪ Preparation of OC certificates for units that are for sale.
▪ Assisting with insurance renewal process.
▪ Following debt collection process.
▪ Preparation of Annual General Meeting (AGM) notices/packs.
▪ Preparation of AGM Minutes.
▪ AGM defrag – setting up activities, assigning tasks, posting minutes to website, etc.
▪ Issuing fee notices.
▪ Issuing breach notices.
