Executive & Digital Marketing Assistant

Job Description

This role is a hybrid of executive assistance and digital marketing support. You’ll manage day-to-day admin, coordinate Colin’s calendar, streamline systems, and assist with email marketing, social media, and online course delivery. The role requires strong organisational skills, excellent communication, and the ability to work autonomously while keeping Colin updated. You will need to embrace AI in every aspect of this job to improve productivity for both Colin & yourself.

Job Qualifications/Requirements
  • Experience in executive assistance, digital marketing, or similar.
  • Proficiency with Google Workspace, Canva and social media scheduling tools.
  • Basic knowledge of email marketing platforms (ConvertKit preferred but not essential), and CRM management.
  • Excellent written and verbal communication in Australian English.
  • Strong organisational skills and attention to detail.
  • Exposure and understanding of AI tools to help productivity in all aspects of this position.
Job Responsibilities
  • EXECUTIVE ASSISTANCE & CALENDAR MANAGEMENT:
    • Manage and maintain Colin’s calendar, ensuring all meetings, workshops, and travel are accurately scheduled.
    • Reconfirm meetings 24 hours in advance and block travel times for off-site events.
    • Prepare and send meeting agendas, take minutes where required, and follow up on action items.
    • Book venues, restaurants, accommodation, and flights when needed.
    • Maintain reminders for birthdays, anniversaries, and key events.
  • ADMINISTRATIVE SUPPORT:
    • Document systems and workflows in Google Docs and create 1-page process flowcharts for recurring tasks.
    • Organise and label files in Google Drive, Dropbox, and course platforms.
    • Assist with event planning and logistics for online and in-person events.
    • Maintain CRM records by updating contacts, cleaning data, and tagging appropriately.
  • CUSTOMER SERVICE:
    • Monitor and manage incoming emails, deleting spam, forwarding priority items, and sending replies using approved templates.
    • Check Facebook messages, website live chat, and YouTube comments daily, escalating complex inquiries to Colin.
    • Follow up with workshop participants, sending thank-you messages and gathering testimonials.
  • ONLINE SCHOOL & COURSE SUPPORT:
    • Assist in uploading and updating course materials on LearnWorlds.
    • Test lesson videos, slides, and downloads before publishing.
    • Schedule and monitor live Zoom sessions, ensuring recordings are archived correctly.
    • Assist with Q&A and live chat during online sessions.
  • MARKETING & SOCIAL MEDIA SUPPORT:
    • Work with Colin to schedule posts and updates across Facebook, Instagram, YouTube, and email newsletters.
    • Research and document future social media content ideas.
    • Implement the monthly social media content calendar for Facebook, Instagram, and YouTube.
    • Schedule and post content using social media scheduling tools.
    • Research and propose new content ideas tailored to the audience’s interests.
    • Engage with followers by replying to comments, messages, and community posts.
    • Monitor engagement metrics and adjust content strategies accordingly.
    • Prepare and format email newsletters in ConvertKit, ensuring correct links and tracking.
    • Source royalty-free images and design posts in Canva.
