Job Description

As an Executive Assistant at Invida Property Management, you will play a vital role in supporting our executive team by ensuring smooth day-to-day operations and managing various professional and personal tasks. This role requires a proactive, organized individual who can handle a wide range of responsibilities, from managing emails and meetings to maintaining our social media presence and assisting with property management-related tasks.

Job Qualifications/Requirements
  • Previous experience as an Executive Assistant, Virtual Assistant, or in a similar role.
  • Background in Property Management or Real Estate is highly desirable.
  • Strong proficiency in Google Drive, Slack, and HubSpot.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills with a keen attention to detail.
  • Ability to multitask and prioritize tasks effectively.
  • High level of integrity, discretion, and professionalism in handling confidential information.
  • References from previous employers are required.
  • Ability to work independently and proactively anticipate the needs of the executives.
  • Excellent communication skills and a straightforward, honest approach to tasks and challenges.
  • Capable of providing comprehensive support beyond traditional administrative duties, including ensuring deadlines are met and following up as necessary.
Job Responsibilities
  • Monitor, organize, and manage the executive’s emails, ensuring prompt responses and follow-ups.
  • Schedule and book meetings, manage calendars, and provide timely meeting reminders.
  • Review, check, and organize documents; ensure all necessary follow-ups are conducted.
  • Manage the company’s social media presence, particularly on LinkedIn, including posting updates, engaging in threads, generating leads, and forwarding them to the sales team.
  • Identify potential leads through social media and other channels, and forward them to the appropriate person for follow-up.
  • Manage and organize email inboxes, including sorting and categorizing messages.
  • Transfer attachments from emails to Google Drive and maintain an organized digital filing system.
  • Assist with advocacy efforts, including reaching out to politicians and stakeholders to build connections and support initiatives.
  • Assist in drafting and distributing media releases.
  • Engage with clients for feedback, including calling clients to encourage them to leave Google reviews.
  • Provide additional support to ensure tasks are completed efficiently and channel work effectively.
