Job Description
We are hiring a long-term full-time Virtual Assistant to support our e-commerce business. This role requires someone who is highly detail-oriented, responsible, self-driven, extremely organized, and most importantly takes ownership for her work and has a strong desire to constantly improve processes and quality.
The VA will manage daily customer communication, assist with custom product workflows, maintain and optimize product listings, support Pinterest scheduling, and continuously improve internal templates and systems.
This role acts as a process owner — someone who takes responsibility for maintaining, improving, and documenting workflows over time to make daily operations smoother and more efficient.

Job Qualifications/Requirements
- 1+ year of e-commerce operations experience.
- Hands-on Shopify experience (required).
- Pinterest or other social media experience.
- Proactive and willing to propose ideas, improvements, and better ways of working.
- Self-motivated and able to work independently in a fully on-site setup.
- Strong written English communication skills.
- Experience handling customer inquiries professionally and promptly.
- Extremely detail-oriented with high accuracy in repetitive tasks.
- Highly organized, process-driven, and comfortable managing workflows and templates.
- Responsible, flexible, and dependable.
- Basic graphic design skills; Canva experience and Adobe Illustrator experience are a strong plus.
- Nice to Have (Not Required):
• SEO experience for e-commerce or Etsy.
Job Responsibilities
- Maintain fast response to customer inquiries during working hours via Etsy and website email (products, shipping timeframe, order status).
- Proof custom wax stamp designs daily (accuracy, layout, clarity); basic graphic design required, experience with Adobe Illustrator a big plus.
- Create and publish new product listings and continuously optimize existing listings (titles, descriptions, keywords, images, and variations):
• Shopify experience required.
• Etsy experience a big plus. - Schedule Pinterest pins and monitor engagement.
- Maintain, organize, and improve templates (product mockups, product descriptions, Pinterest captions, customer responses, etc.).
- Provide miscellaneous support as needed.
- Organize, maintain, and optimize our template library (customer responses, product images, descriptions, mockups, captions, etc.) to improve daily operational efficiency and consistency.
