Customer Service & Operations Assistant

Job Description

We are seeking a Customer Service & Operations Assistant. This is a dual-focused role combining customer care and operational support. You will be a key part of delivering exceptional service and managing weekly and ad-hoc reporting. We provide all necessary training—what matters most is your enthusiasm for learning, your attention to detail, and your love of spreadsheets and data.

Job Qualifications/Requirements
  • A positive, professional presence
  • Exceptional attention to detail and strong organisational skills
  • Passionate about delivering high-quality customer experiences and can manage constructive replies to all sorts of emails from customers
  • Interest in spreadsheets and data reporting fundamentals
  • Proactive, self-driven, and excited to learn new systems and tools
  • Experience with (or willingness to learn) Xero, Shopify, Microsoft 365, Canva
Job Responsibilities
  • Daily – Customer Support & Inbox Management:
    • Respond to customer inquiries via email (“hello” inbox), Facebook, and Instagram using Meta Inbox
    • Manage and respond to Shopify customer reviews via Okendo
    • Maintain an organised shared inbox with zero backlog by end of day
  • Weekly – YouTube & Reporting:
    • Upload Instagram videos to YouTube; create Canva thumbnails + engaging video
    descriptions
    • Assist (and eventually lead) weekly reports using data from Xero and Shopify
  • Bi-Weekly – SOP Creation & Process Documentation:
    • Collaborate with Loom AI to document and update procedures in our SOP Playbook
    • Allocate time every two weeks for process writing sessions
  • Monthly – Collateral & Print Coordination:
    • Organise printing of order forms, barcodes, flyers, and tradeshow materials
  • Ad-Hoc Tasks – Creative & Operational Support:
    • Crop and upload images for the website as needed
    • Update Shopify text and visuals per direction
    • Design Canva creatives (stickers, brochures, postcards, etc.)
    • Reorganise Canva folders following guidance from Stine and Kristy
    • Update price lists when products or pricing change
    • Provide occasional support to other team members (e.g., Dar Mae)
