The PA Conveyancing Assistant plays a pivotal role in supporting our Practice Manager and Conveyancers in managing conveyancing files efficiently and effectively. The successful candidate will be responsible for various tasks spanning from file opening to finalizing settlement, ensuring seamless transactions and exceptional client service.

Job Qualifications/Requirements
- Minimum 2 years experience in a similar role.
- Proficiency in paralegal or legal clerical work.
- High energy levels and exceptional time management skills.
- Advanced communication abilities.
- Ability to adapt quickly to changes and work effectively in a team.
- Keen attention to detail.
- Proficiency in Microsoft Outlook, Word, and Excel.
- Strong multitasking capabilities with excellent organizational skills.
Job Responsibilities
- Provide comprehensive support to the Practice Manager/Conveyancer.
- Assist in data entry using Actionstep software, file opening, and management of key dates.
- Collaborate in running conveyancing files, including drafting correspondence and documents.
- Conduct property searches and relevant inquiries.
- Liaise with banks, land title offices, and council/water authorities.
- Prepare the statement of adjustments and settlement financials.
- Send out settlement notifications and ensure timely follow-ups.
- Finalize files for closure per established procedures.
- Manage conveyancing files from initiation to completion.
- Draft letters and emails for communication with clients and relevant authorities.
- Conduct property searches and inquiries efficiently.
- Coordinate with external entities such as banks and regulatory bodies.
- Assist in scheduling and preparing settlements.
- Prepare and lodge plans of subdivisions as required.
- Maintain reminders for clients and internal stakeholders.
