Certification Officer

Job Description

We are seeking a highly organised and detail-oriented Certifications Officer to support the timely and accurate management of certification processes for INVIDA’s property conversion projects. This role is integral to ensuring compliance with regulatory requirements and maintaining efficient project workflows. The ideal candidate will be proactive, persistent, and committed to upholding high standards of accuracy and professionalism.

Job Qualifications/Requirements
  • Strong administrative and organisational skills.
  • Excellent written and verbal communication.
  • Ability to manage multiple projects simultaneously in a virtual environment.
  • Tech-savvy with proficiency in Microsoft Office / Google Workspace (Excel/Sheets, Word/Docs, etc.)/ pdf generation.
  • Familiarity with certification, council, or compliance processes (desirable but can be learned).
  • Proficient in Zoho CRM desirable but can be learned.
  • Ability to manage competing deadlines.
  • Strong attention to detail and accuracy.
  • Prior experience in property, construction, compliance, or certification support is desirable.
  • No formal qualifications required if balanced by demonstrated administrative competence.
  • Knowledge of Australian building certification and planning frameworks (preferred).
Job Responsibilities
  • Create and fill out various documents accurately, including but not limited to building approvals, contracts and reports.
  • Coordinating the submission and tracking of building approvals, compliance certificates and other regulatory documentation.
  • Liaising with certifiers, councils, consultants, and the internal project team to ensure documentation is complete and delivered within required timeframes.
  • Maintaining accurate digital records of all certification documents and correspondence using Zoho CRM and google drive.
  • Perform data entry tasks, ensuring all information is entered correctly and efficiently.
  • Collaborate with team members to ensure a smooth workflow and assist with additional tasks as required.
  • Following up outstanding items with persistence and professionalism.
  • Proactively identifying delays in the certification process and escalating where necessary.
  • Maintain familiarity with Australian state regulations and requirements relevant to building approvals.
