Job Description

We are seeking a highly organised and detail-oriented Business Administrator with experience in bookkeeping and administrative support, preferably with Australian business practices. The successful candidate will play a vital role in managing day-to-day financial transactions, ensuring accurate records, supporting business operations, and providing exceptional service to both internal and external stakeholders. This role requires someone proactive, adaptable, and able to maintain a high level of accuracy while managing multiple priorities.

Job Qualifications/Requirements
  • Excellent customer service skills with a genuine care factor.
  • Hands-on experience with accounting software XERO.
  • Willing and able to demonstrate initiative.
  • Excellent problem-solving skills.
  • Excellent communication – both written and verbal.
  • Excellent Attention to detail.
  • Good knowledge of bookkeeping procedures (reconciling bank accounts, issuing invoices, entering bills, allocating expenses, End of month procedures).
  • Advanced knowledge of Excel (using financial formulas and creating spreadsheets).
  • Solid data entry skills with an ability to identify numerical errors.
  • Good organisational and time-management abilities.
  • Know their way around apple products (MacBook).
Job Responsibilities
  • Checking & updating contact cards for suppliers, customers, and third-party vendors.
  • Processing bank payments.
  • Reconciling supplier statements of accounts.
  • Data entry
  • Prepare and send invoices.
  • Enter and code supplier bills.
  • Pay supplier bills, reconcile payments, and send remittance advices.
  • Account receivables, monitor account receivables and follow up overdue invoices for timely payments.
  • Complete End of Month reconciliations.
  • Identify and address discrepancies.
  • Report on the status of accounts payable and receivable – weekly.
  • Update internal accounting databases and spreadsheets.
