The Administrative Assistant will be responsible for processing financial and client data, handling administrative tasks, and ensuring compliance with financial regulations. This role plays a critical part in supporting the front-office team by managing back-end operations efficiently and accurately.

Job Qualifications/Requirements
  • 1-2 years of experience in an administrative, data processing, or financial services role (experience in SMSF administration is highly desirable but not essential).
  • Very strong written English skills, with the ability to communicate professionally in internal and external correspondence.
  • Excellent attention to detail, with a strong focus on accuracy and compliance.
  • Proficiency in CRM systems and financial platforms (experience with Asana and Google Suite or similar is advantageous).
  • Ability to create and follow company workflows to ensure efficient and consistent task execution.
  • Strong problem-solving skills to identify and resolve discrepancies.
  • Team-oriented mindset, with the ability to collaborate effectively with internal stakeholders.
Job Responsibilities
  • Accurately enter, update, and maintain client and financial records within company systems.
  • Review and validate documents to ensure completeness, accuracy, and compliance with regulations.
  • Assist in processing SMSF-related transactions, rollovers, and compliance documentation.
  • Identify discrepancies or missing information and take corrective actions.
  • Maintain accurate records in CRM software and financial platforms (experience with Asana and Google Suite is advantageous).
  • Provide administrative support to sales and client-facing teams to streamline operations.
  • Liaise with internal teams and external third parties to ensure smooth processing of client requests.
  • Manage workload efficiently to meet deadlines and support business operations.
