Job Description

For the business to run effectively and efficiently, the administrative assistant provides crucial administrative support to the Director and the business. They contribute to the overall effectiveness of the business and help manage daily duties.

Job Qualifications/Requirements
  • Must possess Excellent English communication skills both Verbal & Written.
  • Fresh graduates are welcome to apply
  • Not required but it would be desirable if you have at least 3-6 months work-related experience.
  • Virtual Assistant experience is a plus
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Eagerness to learn and a proactive attitude.
  • Proficiency in Microsoft Office Suite/Google Workspace

  • Email Management (Filtering Emails/ Managing Spam)
  • Database Management (CRM Management/ Updating contacts)
  • Answering Customer Service Emails/ Enquiries
  • Calendar Management (Sending Meeting reminders to client and Director)
  • Appointment Setting
  • Reminder Services
  • Dropbox / G Workspace / Google Drive Organization
  • Data Entry in Microsoft Office / Google Workspace
  • Creating / Managing Spreadsheets / Excel
  • Preparing Powerpoint / Canva Presentations
  • PDF Conversion, Splitting/Merging
  • Google Sites (Documentation of internal processes and procedures)
  • Flowcharts for processes and systems
  • Video and Audio Transcription
  • Simple eBook Layout or Formatting (Basic/Using templates)
  • Report Creation
  • Online Research
  • Data Mining / Lead Generation
  • Assist creating proposals (using templates)
  • Blog Publishing (uploading content only)
  • Personal Errands (purchasing gifts online, etc)
  • Project Management & Training Tasks
  • Preparation of Training Materials
  • Assist with process documentation
  • Posting and scheduling Facebook, Instagram, LinkedIn and Google Business Social Media Updates
  • Use of social media scheduling tools
  • Editing/ Proofreading Emails
  • Assist with building email campaigns
  • Basic graphic design using Canva
  • Basic Photoshop/ Cropping, adjusting image size, adjusting brightness, contrast (no advanced photo manipulation)
  • Perform other administrative duties as assigned by supervisors or management.
