Job Description

We are seeking a dynamic and organized Administrative Coordinator to join our team. The ideal candidate will be responsible for providing comprehensive administrative support across various areas including inbox and calendar management, project coordination, invoicing, rostering, and training. This role requires strong attention to detail, excellent organizational skills, and the ability to handle multiple tasks efficiently.

Job Qualifications/Requirements
  • Proven experience in administrative support roles or similar positions.
  • Proficiency in using email management tools, calendar applications, and project management software.
  • Excellent organizational and time-management skills with the ability to prioritize tasks effectively.
  • Strong communication skills, both verbal and written.
  • Attention to detail and accuracy in all tasks.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Experience with Dubsado or similar project management tools is preferred.
  • Previous experience in rostering and training coordination is an advantage.
Job Responsibilities
  • Manage and organize incoming emails, prioritize correspondence, and respond to inquiries as necessary.
  • Coordinate and manage calendars, schedule appointments, and arrange meetings.
  • Perform adhoc administrative tasks as needed to support daily operations.
  • Assist in project management tasks including organizing session bookings, consultation bookings, and tracking signed proposals.
  • Utilize Dubsado for project management tasks and ensure accurate documentation and follow-up.
  • Follow up on unsigned proposals and reviews to ensure timely completion.
  • Handle invoicing and payment processes, including generating invoices and following up on unpaid invoices.
  • Maintain rostering system, creating a weekly roster and distributing it to all employees.
  • Develop and maintain a comprehensive training manual for new and existing employees.
