Administration Assistant – Property Management Support

Job Description

As an Administration Assistant, you will play a pivotal role in ensuring the smooth operation of our office or department. Your primary responsibility will be to provide essential administrative support, contributing to the overall efficiency and effectiveness of our business operations. From managing schedules to handling email communications, your attention to detail and organizational skills will be critical in maintaining our daily functions.

Job Qualifications/Requirements
  • Excellent English communication skills, both verbal and written, are essential for effective interaction with team members and external stakeholders.
  • Fresh graduates are encouraged to apply, while candidates with 3-6 months of work-related experience will be preferred.
  • Experience as a Virtual Assistant is a plus.
  • Strong time management skills to handle multiple tasks efficiently.
  • Ability to take initiative and work independently when necessary.
  • Demonstrated ability as a fast learner, adapting quickly to new tasks and responsibilities.
  • Attention to Detail
  • Previous Experience in a property-related role and Word Formatting/MRI skills are a plus
Job Responsibilities
  • Schedule tenant meetings for team members and coordinate contractor attendances with tenants.
  • Manage Handler management invoices in Snap and run arrears reports in MRI.
  • Communicate with tenants regarding arrears, raise one-off charge forms, and chase tenant insurances and occupier statements.
  • Provide reminder services for important deadlines and appointments.
  • Download, save, and format reports for monthly commentary.
  • Log ad hoc job callouts in Snap and manage contractor completed jobs.
  • Handle diary management, save monthly tenant invoices, and set up new suppliers.
  • Maintain file management systems and assist during audits by downloading requested invoices and setting up template letters.
  • Respond to tenant emails when possible and assist with project management and training tasks.
  • Prepare training materials as needed.
  • Update tenant contact lists as required for email marketing campaigns.
  • Perform additional administrative duties assigned by supervisors or management to support the smooth operation of the office or department.
