The Admin Assistant will support the owner and the in-house administrative team to ensure the smooth and efficient operation of a personal training studio. This role provides crucial administrative support, contributing to the overall effectiveness of the business by helping manage daily tasks and keeping the workflow organized. The position is perfect for someone proactive, organized, and willing to learn quickly.

Job Qualifications/Requirements
  • Excellent English communication skills (both verbal and written).
  • Fresh graduates are welcome to apply.
  • Previous experience as a Virtual Assistant or in a related role is a plus (3-6 months experience preferred).
  • Strong time management and organizational skills.
  • Ability to take initiative and learn quickly.
  • Proficient in using tools like Google Drive, Google Docs, Google Sheets, Excel, and PowerPoint.
  • Basic skills in graphic design and familiarity with Canva.
Job Responsibilities
  • Manage and organize emails, schedules, and appointments.
  • Update and manage the CRM system, including contact details.
  • Oversee and maintain task lists for the in-house administrative assistant and other team members.
  • Track and update task progress daily, completing or marking tasks as a percentage complete.
  • Input new tasks into the task management system and set reminders.
  • Assist with appointment setting and send reminders.
  • Provide organizational support for file storage using Google Drive.
  • Enter and organize data in Google Docs, Google Sheets, and Excel.
  • Create and manage spreadsheets and databases.
  • Prepare PowerPoint presentations and convert, split, or merge PDFs as needed.
  • Conduct online research and data mining for leads or other information.
  • Assist with basic bookkeeping tasks, such as organizing receipts for tax purposes.
  • Help find new formulas to enhance Excel’s functionality and keep stats updated.
  • Assist with email marketing, including proofreading and editing emails.
  • Keep the Constant Contact email campaigns within the 500-contact limit.
  • Perform basic graphic design using Canva (e.g., cropping and adjusting images for before-and-after photos).
  • Design presentation slides for the owner or sales team.
  • Perform various administrative tasks as assigned by the owner or the in-house administrative assistant.
