Accounts and Administration Officer

Job Description

We are seeking a detail-oriented and proactive Accounts and Administration Officer to support the efficient operation of our businesses. This role is vital to maintaining accurate financial records, ensuring smooth day-to-day operations, and providing effective communication across teams and external partners.

Job Qualifications/Requirements
  • High attention to detail, particularly in finance and inventory systems.
  • Clear and confident communication with internal teams and external partners.
  • Strong digital capability across platforms including Xero (essential), Cin7, and Shopify. Training can be provided for Cin7 and Shopify.
  • Organised, proactive, and capable of independently managing deadlines and priorities.
Job Responsibilities
  • ROCKMATE LANDSCAPE SUPPLIES
    Procurement & Inventory:
    ● Maintain and manage accurate product listings in Cin7 and shopify, including pricing, categorisation, and supplier details.
    ● Add and manage new suppliers and trade accounts.
    ● Own product updates and ensure listings for the online store are accurate and up-to-date.
  • Accounts Payable & Reconciliation:
    ● Enter, reconcile, and review supplier invoices in Cin7 and Xero.
    ● Finalise draft invoices in Xero by checking totals, updating due dates, and attaching all relevant documentation.
    ● Reconcile Shopify in Xero
    ● Enter receipts and maintain up-to-date financial records.
    ● Enter invoices on request by Mick, Heid and Rockmate Manager
    ● Reconcile monthly supplier statements, resolve discrepancies, and ensure all corrections are completed.
    ● Send accurate end-of-month reports to Mick and Heidi.
  • Admin & Communication:
    ● Manage the shared Rockmate accounts inbox and ensure timely triage of emails.
    ● Organise and monitor franchise managers email during busy periods.
    ● Submit team timesheets each Monday and resolve any issues directly with the Manager.
    ● Take responsibility for OH&S and operational compliance, including fire ant protocols and vehicle registrations.
    ● Create HR contracts for new employees.
    ● Create minutes of staff review meetings.
    ● Complete general admin tasks and respond to ad hoc requests from Manager, Heidi, or Mick as needed.
  • DIGGERMATE AUSTRALIA
    Customer Support & Admin:
    ● Manage incoming Diggermate support tickets as assigned.
    ● Distribute receipts, invoices, and documentation to the appropriate internal contacts.
    ● Maintain and update product listings and images on the Diggermate website as needed.
    ● Reconciliation of Shopify in Xero.
    ● Adhoc task requested of you for Diggermate Franchising.
  • Starter & Welcome Packs:
    ● Liaise with the team for when Welcome and Starter packs are to be sent and advise Heidi when they need to be shipped.
