Job Qualifications/Requirements
  • Highly developed administration background
  • Strong customer relations with a positive approach to customer service
  • Advanced organizational skills
  • Ability to handle multiple assignments and prioritize effectively
  • Strong written and verbal communication skills
  • Problem-solving and forward-thinking abilities
  • Capable of managing multiple appointments and team members’ calendars
  • Excellent time management skills
  • Adaptable in a fast-paced industry
  • Professional discretion at all times
  • Proficient in MS Office (Word, PowerPoint, Excel)
  • Proficient with Apple Mac systems and programs (iWork Numbers, Pages, Keynote)
  • Competent with technology-based apps (e.g., Calendly, Zoom, Teams, iCal, Google Docs, Dropbox)
  • Adobe Acrobat skills
  • Quick in coordinating across multiple time zones
  • Proven experience as a Coordinator, Facilitator, Executive Assistant, or similar role (Preferred)
  • Hands-on experience coordinating multiple events in a corporate setting (Preferred)
  • Knowledge of learning management systems and web delivery tools (Preferred)
  • Experience in travel and calendar management (Preferred)
  • Familiarity with e-commerce platforms, specifically Shopify (Preferred)
  • Experience with Fishbowl inventory management (Preferred)
  • Tech-Savvy
Job Responsibilities
  • Support the Operations Team
  • Manage order documentation
  • Check and QC internal documents
  • Liaise with clients
  • Assist with e-commerce platform management
  • Handle and direct incoming calls
  • Provide administrative support, including invoicing
  • Maintain communication with the Operations team
  • Perform general administrative tasks
